Job Summary:
Our client, a close-knit private equity firm, is seeking a reliable and organized Executive Assistant / Office Manager to support the daily operations of their San Francisco office. The ideal candidate will possess strong communication skills and a polished demeanor, working closely with the admin team and liaising with C-suite executives. The Executive Assistant will provide high-level executive support, including meeting scheduling, calendar management, travel coordination, and involvement in firm-wide projects. Salary: $165k Discretionary Bonus + Benefits
Onsite: 5 days a week, with the potential for occasional remote work (approximately 1 day per week) to be granted when the executive is traveling or out of the office.
Key Responsibilities:
- Lead, mentor, and provide day-to-day oversight for a small administrative team.
- Support team members and executives with complex calendar management, scheduling, and travel arrangements.
- Collaborate with internal departments on firm-wide initiatives and administrative projects.
- Provide hands-on executive support to senior leaders.
- Manage office operations and ensure the workspace remains efficient, professional, and well-stocked.
- Coordinate internal and external meetings, prepare meeting materials, and assist with follow-up tasks.
- Serve as a cultural ambassador, contributing to a positive and inclusive work environment.
- Maintain confidentiality and discretion in handling sensitive information.
- Assist with onboarding and training new hires in administrative tools and office procedures.
Qualifications:
- Bachelor's degree in business administration, communications, or a related field required.
- 3+ years of administrative experience, including calendar management and travel coordination; prior experience in a team lead or supervisory capacity preferred.
- Background in private equity, finance, or professional services is a plus.
- Strong organizational and multitasking abilities with exceptional attention to detail.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Self-starter with a collaborative and service-oriented mindset.
