The firm is in need of a full-time
Senior Executive Assistant to provide top-tier support to two to three Partners and act as a liaison for various other Lawyers (Counsels and Associates). This position is based in our San Francisco office and reports to the Office Manager.
The ideal candidate will demonstrate a strong client service orientation and be enthusiastic about applying business development and project management skills in a dynamic, collaborative environment.
Key Responsibilities: - Support Partners/Lawyers in client engagement, practice management, and business development initiatives.
- Provide comprehensive administrative assistance to assigned Partners and other Lawyers.
- Promote a team spirit focused on superior client service and professional excellence.
Business Development and Client Engagement: - Develop an understanding of each Partner/Lawyer's business development and client engagement priorities.
- Maintain and regularly update contact and business activity information in the CRM/Interaction database.
- Proactively manage client interactions, scheduling calls and meetings to strengthen relationships.
- Coordinate client entertainment and assist in managing local events.
- Prepare materials for meetings, pitches, and proposals.
- Conduct research to support Partners/Lawyers' business development efforts.
Administrative Support: - Assist with billing processes, including liaison with billing coordinators and the preparation of pro formas.
- Track and enter time submissions for Partners/Lawyers.
- Efficiently manage Partners' calendars and coordinate internal/external client meetings.
- Organize travel arrangements based on preferences.
- Complete and submit expense reports in a timely manner.
- Manage document production and maintain systems for confidential client information storage and disposal.
Team Collaboration: - Provide coverage for colleagues during absences.
- Assist in the onboarding and training of new assistants.
- Contribute to team meetings and collaborative projects to enhance overall team performance.
Requirements: - A minimum of three years of experience as an executive-level assistant in a law firm or similar professional services environment.
- Strong interest in or knowledge of Finance, Technology, or Media, or direct legal experience.
- A commitment to excellent client service and the ability to thrive in a fast-paced setting.
- Proficient in Microsoft Outlook, Word, PowerPoint, and Excel, with experience in CRM systems; familiarity with Interaction is a plus.
- Demonstrated project management and analytical abilities.
- Exceptional presentation and writing skills.
- Strong interpersonal skills and the ability to engage effectively with individuals at all levels within the firm and with clients.
- Willingness to work on-site four days a week, with remote flexibility for one day.
- An undergraduate degree or relevant professional experience is required.
