Job Summary:

The Independence Pet Holdings (IPH) Office of the CEO is seeking a highly skilled and proactive Senior Executive Assistant to provide exceptional administrative and strategic support to C-level executives, including the CEO. Reporting directly to the Chief of Staff to the CEO, this high-visibility role is ideal for a highly organized, detail-oriented professional who thrives in a fast-paced, high-growth environment and can navigate ambiguity with confidence.


As a critical partner to the Chief of Staff, the Senior EA will ensure the seamless execution of executive priorities, optimize workflows, and drive cross-functional collaboration. This role requires exceptional discretion, strong communication and interpersonal skills, and the ability to anticipate needs while managing multiple high-priority administrative and operational responsibilities.


Location: This position is fully in-office and requires five days per week at our New York City office. Candidates must be based in NYC or willing to commute daily.


Main Responsibilities:

  • Provide comprehensive administrative support to C-level executives, including the CEO, managing complex calendars, scheduling, and prioritizing high-level meetings.
  • Act as a gatekeeper and liaison for internal and external stakeholders, ensuring efficient communication and follow-through on key initiatives.
  • Coordinate and manage all domestic and international travel and events, handling logistics, accommodations, itineraries, and expenses.
  • Ensure executives are fully prepared for meetings by compiling agendas, briefing documents and tracking follow-up action items.
  • Partner closely with the Chief of Staff to drive executive priorities and maintain alignment across leadership teams.
  • Establish and lead an Executive Assistant Community of Practice, sharing best practices and fostering collaboration and seamless coordination among EAs across IPH.
  • Schedule, arrange, and coordinate IPH entity board meetings in collaboration with the Corporate Secretary.
  • Assist with internal communications and special projects as needed.
  • Serve as a thought partner to the Chief of Staff, identifying opportunities to optimize executive workflows and enhance operational efficiency.

Basic Qualifications:

  • Bachelor's degree in Business Administration, Communication, or related field or equivalent work experience.
  • 8+ years of providing administrative support to a C-level executive.
  • Prior experience in high-growth industries (e.g., startups, technology, finance, or consulting) a plus.
  • Exceptional written and verbal communication skills.
  • Strong problem-solving mindset, with the ability to anticipate needs and proactively address challenges.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), and collaboration tools such as Teams and SharePoint.
  • Discretion and integrity in handling sensitive and confidential information
  • Strong interpersonal skills, with the ability to build trust and rapport with stakeholders at all levels.
  • Experience working in a global environment a plus.
  • High emotional intelligence (EQ), adaptability, and the ability to work independently under pressure.
