Job Summary:
The Service Appointment/ Loaner Coordinator is responsible for managing our loaner vehicle fleet and coordinating appointments through our Business Development Center (BDC). This position supports the service department by ensuring efficient scheduling, accurate documentation, and excellent customer service.
Key Responsibilities:
• Coordinate service appointments and loaner vehicle scheduling through BDC
• Maintain and track the loaner fleet, including check-in/check-out process, mileage, fuel levels, and condition reports
• Communicate with customers to confirm appointments and explain loaner policies
• Ensure all loaner agreements and required documents are properly completed and filed
• Liaise with service advisors and technicians to manage customer expectations
• Follow up with customers for vehicle return and provide status updates during service
• Assist in service-related customer calls and inquiries as needed
• Maintain compliance with insurance and dealership policies regarding loaner vehicles
Requirements:
• High school diploma or equivalent; college education preferred
• Previous experience in a dealership, customer service, or BDC role is a plus
• Excellent communication and interpersonal skills
• Strong organizational and multitasking abilities
• Proficiency in dealership management systems (DMS) and Microsoft Office Suite
• Valid driver's license with a clean driving record
