We are seeking a highly motivated and organized Office Administrator to join a pioneering early stage startup in the medical device technology sector.


You will play a pivotal role in managing day to day financial operations, administrative functions, and supporting strategic initiatives. Working closely with the CEO, executive leadership, and Board of Directors, This role requires a proactive, detail-oriented professional who can manage accounts payable (AP), accounts receivable (AR), financial reporting, and office administration.


This is a hands-on role, ideal for someone who thrives in a startup environment, is comfortable wearing multiple hats, and can proactively support financial strategy, company operations, and key executive projects.


Key Responsibilities


Financial

  • Processing purchase invoices, payroll, and supplier payments.
  • Managing accounts receivable and invoicing for partners and clients.
  • Tracking income streams from various sources, ensuring timely reporting.
  • Monitoring business credit card use, petty cash, and reconciliations.
  • Ensuring accurate financial data processing using QuickBooks.
  • Liaise with external accountants providing data for monthly, quarterly, and annual financial reporting, financial statements and tax filings.
  • Collate and present financial reports, cash flow forecasts, and budget projections to the CEO, investors, and Board of Directors.

Office & Administrative Management

  • Ensure smooth daily operations of the office
  • Serve as the primary liaison for operational matters, including employee support
  • Work closely with the CEO and leadership to support hiring, payroll, and HR compliance.
  • Help define and implement best practices for finance and administration as the company scales.
  • Support executive leadership in managing company growth and operational expansion.
  • Prepare Board of Directors meeting materials, attend board meetings, take minutes, and follow up on action items.
  • Act as a liaison for partners and investors, responding to inquiries and providing updates.
  • Support the CEO in preparing investor pitch decks, fundraising materials and other projects.

Qualifications & Experience

  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
  • 5+ years of hands-on experience in accounts payable (AP), accounts receivable (AR), bookkeeping, and financial reporting.
  • Experience gained within a manufacturing startup or high-growth environment.
  • Strong experience with Sage 50 Accounts, QuickBooks, or similar financial software.
  • Strong Microsoft Office and other business software experience.
  • Experience in cash flow management, payroll processing, and reconciliations.
  • Highly organized, proactive, and capable of working independently.
  • Excellent communication skills.
