We have a strong pipeline of exciting and career-enhancing full-time and part-time assignments across the Biotech, Marketing, Fintech, Consumer Goods, Pharma, and Technology sectors, and we're interested in hearing from Legal Administrative Assistant to join us and commence their LOD journey.


To join us, you will:

  • Have a bachelor's degree is preferred.
  • Have prior litigation experience.
  • Have at least five years of prior legal experience.
  • Possess excellent written and verbal communication skills.
  • Possess excellent interpersonal and organizational skills.
  • Have high attention to detail, ability to multi-task in a high-paced environment, and manage deadlines.
  • Have the ability to prioritize and coordinate work.
  • Have the ability to maintain confidential information.
  • Have the ability to manage workflow and delegate projects as necessary.
  • Have the ability to think critically and analytically in a pressured environment.
  • Have the ability to clearly and effectively communicate with various levels of staff within the organization.
  • Have the ability to work productively and cooperatively with other employees.
  • Have the ability to constantly learn new skills as they become necessary.
  • Be able to adapt to using new equipment such as computers, duplicating machines, and scanners.
  • Have the ability to navigate iManage, MS Office, InTapp, InTapp Time, 3E, and Chrome River.

Key responsibilities:

  • Provide high-level secretarial and administrative support in a team environment to a group of lawyers as required.
  • Coordinate and maintain effective office procedures and efficient workflow; comply with policies and procedures set by the Firm; establish and maintain harmonious working relationships with supervisors, co-workers, clients, etc.
  • Handle scheduling and travel arrangements.
  • Schedule court appearances, depositions, arbitrations, mediations, client meetings, and conference calls; arrange business itineraries and coordinate lawyers' travel arrangements; process travel reimbursements; maintain calendar and due dates for lawyers as required.
  • Organize and coordinate the flow of information.
  • Sort, read, and annotate incoming mail and documents as required.
  • Attach appropriate files to facilitate necessary action; determines routing, signatures required, and maintains follow-ups.
  • Answer phones and direct callers to appropriate persons as circumstances warrant.
  • Receive and assist visitors.
  • Type and compose general correspondence, memos, legal documents, faxes, reports, etc., from various sources.
  • Prepare communications outlines by a lawyer in oral or written directions.
  • Responsible for the accuracy and clarity of the final copy.
  • Correlate and edit materials submitted by others.
  • Organize material that may be presented to lawyers in draft format.
  • Ensure that all correspondence or other documentation is dispatched in a timely manner (via mail, messenger, express delivery services, etc.)
  • Prepare draft pleadings such as briefs, complaints, motions, subpoenas, summonses, using firm templates and information from attorneys.
  • Prepare motion binders and special working binders.
  • Coordinate multi-document filings in both state and federal courts, including E-filings.
  • Establish and maintain filing and records, in both hard copy and electronic formats.
  • File information in a timely manner.
  • Retrieve information from files as requested.
  • Send files to storage on a periodic basis.
  • Update subscription books as required.
  • Enter lawyers' time on a daily basis and send to accounting by the month-end deadlines.
  • Prepare client billing as required.
  • Research and abstract information and support data in preparation for meetings, work projects, and reports.
  • Create and maintain an up-to-date desk manual on specific instructions and responsibilities for the secretarial team.
  • Take action authorized by the Lawyer and the Director of Administration using initiative and good judgment in handling matters.
  • Notify the Director of Administration about availability to assist with overflow work.
  • Timely and regular attendance.
  • Perform other duties as assigned.
  • Uphold high standards of confidentiality, discretion, and integrity, particularly with respect to all sensitive and/or confidential firm and client information to which this position will have access.
