About the job

  • Pay Rate: $45.00-$48.00/hr (DOE)
  • Duration: 6-month Contract
  • Schedule Shift: 8:00am - 5pm
  • Schedule Days: Monday - Friday
  • Hybrid Schedule: 2-3 days onsite (depending on facility need)

Required

  • Highschool Diploma or GED equivalent
  • Minimum 4 Years of related experience as Administrative Assistant
  • Healthcare Executive Assistant experience
  • Expert knowledge in calendaring, event planning and resource coordination
Preferred:
  • Visio Experience
  • College level course work
  • Previous experience supporting 2 executives simultaneously
Skills and Ability

  • Familiarity and knowledge of computer skills and relevant software (Microsoft Office applications such as Outlook, Excel, Word and PowerPoint)
  • Familiarity and knowledge of operation and standard office equipment (telephone, copier, fax machine, etc.)
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping
  • Knowledge of principles and practices of basic office management
  • Ability to demonstrate business communications skills (verbal, written, listening, reading)
  • Ability to follow standard operating policies and procedures
  • Ability to demonstrate information gathering and information monitoring skills
  • Ability to plan and organize

Responsibilities

  • The Executive Assistant will support the VP, Human Resources and SVP & Chief HR Officer in a hybrid arrangement. Must be able to balance calendars and emails of two high-profile executives with large teams, jurisdiction, and confidential matters.
  • Responsible for handling a wide range of administrative and executive support-related tasks for executives and department leaders
  • Safeguards leaderships time and schedule by identifying their needs, prioritizing meetings, and resolving calendar conflicts.
  • Manages meetings and organizes events including room scheduling, vendor liaison, organizing meeting and event materials
  • Monitors department budget and reconciles spending card accounts regularly in accordance to established policy
  • Maintain department record as applicable. Update department databases and recurring reports
