ABOUT CHILDREN SERVICES OF ROXBURY:

Founded in 1972 Children's Services of Roxbury's (CSR) mission is to provide high quality services to economically disadvantaged children, youth, families, and individuals thereby promoting and strengthening family life and individual growth. CSR serves approximately 6,000 families across Massachusetts, serving families through four key services areas; Early Education and Care, Behavioral Health Services, Youth and Family Services and Housing and Stabilization. There are 22 programs operating under those four services areas. CSR operates across in 4 cities, has a staff of 400 employees, and an operating budget of $28M.

OVERVIEW:

The lack of adequate, affordable housing further destabilizes economically-disadvantaged adults and families. CSR's Housing and Stabilization Services staff is committed to addressing the needs of individuals and families struggling with homelessness, by providing permanent or temporary shelter along with food and clothing.

SUMMARY

The Office Manager is an essential component of the Housing and Stabilization department. This is an on-site position that works to ensure the department is a welcoming environment for families and visitors, an office space that supports efficiency for staff and data systems that are maintained with up-to-date information.

RESPONSIBILITIES:
  • Manages all aspects of the reception area:
    Creates a welcoming environment for all staff, families, and visitors that is safe, free from clutter, and clean
  • Responds and directs incoming phone calls and faxes
  • Sorts, distributes, and highlights all important mail to recipients daily
  • Welcomes visitors and maintains security using logbook
  • Manages office supplies and equipment
  • Assists with managing shelter supplies
  • Assists with meetings and events planning, set-up, and take down
  • Helps to keep data systems up to date by entering updated information
  • Supports departmental communication by sending reminders, necessary information and updating information stream
  • Supports program operations
  • Reconciles invoices and receipts
  • Additional tasks as assigned
EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
  • Strong computer skills, including but not limited to Microsoft Office and data entry
  • Strong writing skills must be able to communicate effectively and concisely in writing
  • Ability to assess and initiate independently while also keeping others informed
  • Must be able to communicate effectively and build strong relationships with colleagues throughout the department
  • Excellent planning and organizational skills; ability to manage shifting priorities, organize and sort supplies and space in a neat and orderly way all while communicating changes to the appropriate people
  • Must be able to lift 301bs, bend, walk, and climb stairs
  • Bachelor's degree in business or a related field
  • Preferred bi-lingual a plus
