Qualifications:
- Post-high school training is preferred.
- Prior experience as an executive assistant preferred.
- Must be proficient in Microsoft Word and Excel.
- Must have solid grammar skills.
- Ability to handle confidential information.
- Availability to work one or two evenings per month for scheduled Governing Board meetings.
- Professional public relations skills needed.
- Able to obtain or currently possess an Arizona DPS IVP Fingerprint Clearance Card.
Job Goal: To maintain professional and accurate communication and documentation, and to fulfill other secretarial/human resources duties as assigned for the SJUSD Governing Board, Superintendent, and Business Manager.
Duties and Responsibilities: Executive Secretary
Reports Directly To: Superintendent and Governing Board
- Performs all administrative functions related to the Superintendent, Administrative Team and Governing Board.
- Safeguards confidential documentation and correspondence.
- Prepares and posts monthly agendas for all Governing Board meetings.
- Posts meeting notices for all Board meetings as required by the Arizona Open Meeting laws.
- Maintains District policy manual.
- Attends Governing Board meetings and takes minutes for Board approval.
- Maintains an efficient filing system of records, communications, reports, etc.
- Maintains a calendar of district events and staff directories.
- Other duties and responsibilities as assigned by the Superintendent or the Governing Board.
Performance Responsibilities: Human Resources
Reports Directly To: Business Manager
- Maintains all employee files (electronically and physically).
- Oversees the new hire onboarding process.
- Oversees the terminated employee offboarding process.
- Ensures all new hires and terminated employees are added to Governing Board agendas with proper documentation for approval.
- Manages the staff portal of information.
- Oversees the District's benefits program, including open enrollment.
- Maintains and completes OSHA files and workers' compensation claims.
- Ensures all certified staff have appropriate and current certifications with the Arizona Department of Education.
- Ensures all current employees and new hires have current IVP Fingerprint Clearance Cards.
- Is directly responsible for the Fieldprint fingerprinting service provided by the District.
- Manages the contract substitutes for the District.
- Answers telephones and greets the public.
- Other duties and responsibilities as assigned by the Business Manager or the Superintendent.
Terms of Employment: 12 months. Salary established by the Governing Board. Employee benefits in accordance with district policies.
