Robert C. Gottlieb & Associates PLLC, a NYC criminal and complex civil litigation law firm is seeking an Executive Assistant/Paralegal. The candidate should have exceptional people skills, strong computer skills, the ability and willingness to learn and work as part of a team.

A successful candidate will have a polished and professional appearance and be highly organized, detail-oriented and efficient, able to turn around high-quality work in a timely fashion and possess strong oral and written communication skills.

Executive Assistant:

  • Works closely with and effectively organizes managing partner emails and calendar. Keeps him well informed of upcoming commitments and responsibilities, following up appropriately.
  • Manage the firm's case list, keep track of upcoming appearances and notifying appropriate staff.
  • Correspond with clients regarding scheduled phone calls, video conferences, in-person meetings, and/or court appearances.
  • Build and maintain a professional relationship with other legal counsel, courts, agencies and professional organizations on behalf of the firm.
  • Keeping up-to-date client contacts in Clio, as well as detailed client/matter lists.
  • Capable of anticipating needs and work forward with limited direction.

GENERAL RESPONSIBILITIES:

  • Manage office calendar (daily calls and meetings, court conferences, court submission deadlines, etc.).
  • Coordinate travel arrangements.
  • Answer phones, transfer calls, and take detailed messages.
  • Copy, scan, print, and save documents as needed.
  • File court documents (EDDS, PACER, NYSCEF, etc.).
  • Work closely with court clerks and/or court personnel.
  • Order court transcripts as needed.
  • Prepare binders, exhibits, and files for trials and other court proceedings.
  • Open, organize, prepare and maintain client and office files both in electronic and paper filing systems.
  • Perform other related general administrative duties as assigned.

QUALIFICATIONS:

  • Bachelor's degree.
  • Proficiency in Microsoft Office Suite.
  • Good communication skills (verbal and written).
  • Ability to function effectively in a deadline-oriented work environment.
  • Can multitask efficiently and keep track of several open assignments at once.
  • Good problem solving and time management skills.
  • Prior law firm experience is a plus not required.
  • Experience in e-filing in both state and federal courts a plus not required.

Job Type: Full Time, minimum 2 years' experience

Salary: $65,000 - $75,000

Hours: 9:00AM-6:00PM (Monday - Friday)
