Addison Group is working with a leading private equity firm to hire an Executive Assistant to support two senior partners. This is an exciting opportunity for an experienced administrative professional looking to grow in a stable, supportive environment.


Job Description:

The Executive Assistant will provide high-level administrative support to two senior partners, managing complex calendars, coordinating travel, and overseeing office operations. This role requires strong organizational skills, professionalism, and the ability to anticipate needs in a fast-paced environment.


Key Responsibilities:

Executive Support

  • Manage complex calendars for two senior leaders, coordinating meetings and travel across multiple time zones.
  • Handle domestic and international travel arrangements, including flights, hotels, and transportation.
  • Prepare and process monthly expense reports using Concur.
  • Organize internal and client-facing meetings, including logistics, catering, and materials.

Office Management

  • Oversee office operations, ensuring supplies, snacks, and equipment are well-stocked and organized.
  • Serve as the main point of contact for building management and vendors.
  • Manage incoming mail, deliveries, and visitor access.
  • Maintain a clean and professional office environment.

Special Projects & Cross-Functional Support

  • Assist with onboarding and offboarding new hires.
  • Support firm-wide initiatives, including team events and annual meetings.
  • Identify opportunities to improve office processes and increase efficiency.

Qualifications:

  • Experience: Prior experience as an Executive Assistant, Senior Administrative Assistant, or Office Manager.
  • Skills: Strong calendar management, travel coordination, and expense reporting skills (Concur preferred).
  • Soft Skills: High emotional intelligence, proactive problem-solving, and strong communication skills.
  • Location: Proximity to the office is important.

Additional Details:

  • Hours: 8:00 AM - 5:00 PM
  • Schedule: Hybrid (4 days in office, 1 remote)
