Summary Marine Corps Community Services (MCCS) is looking for the best and brightest to join our Team. Responsibilities Serves as a member of the executive staff of MCIWEST-MCB CAMPEN and advisor to the Assistant Chief of Staff (AC/S) and Deputy AC/S, MCCS. Establishes necessary procedures and techniques to ensure effective administrative processing and support of leadership. Provides administrative and logistical support services to the AC/S and Deputy AC/S. Schedules and coordinates visits, meetings, and itineraries. Serves as primary travel coordinator for Executive Operations and Administration. Interacts with high-level officials (i.e., higher headquarters, Congressional members, General Officers, etc.), installation commanders, and MCCS Directors across MCIWEST Region. Coordinate logistical requirements with General Officer and Higher Headquarters staff for conferences, meetings, events and briefings. Responsible for establishing and maintaining correspondence/project files. Develops protocol procedures and advises leadership on protocol matters. Reviews and analyzes all directives to ensure compliance. Prepares supporting documentation for presentations and proposals. Originates and prepares official correspondence, briefs, action documents, routing sheets, point papers and slide presentations for AC/S and Deputy AC/S. Receive and sort incoming mail and deliveries and manage outgoing mail. Responsible for coordination of all maintenance, technology, and equipment requirements for Executive Operations and Administrative offices. Manages new property resources and may provide analysis and direction on office space layout and improvements. Maintains all records and adheres to all requirements as the staff section Government Purchase Card holder. Provides recommendations to the AC/S, Deputy Director AC/S and Operations section on all matters relative to the coordination, integration, and synchronization of events and activities. Responsible for the scheduling and tracking of calendars and coordination of meeting plans up to a year in advance. Screen all visitors and answer multiple phone lines. Takes action to solve problems quickly and independently. Conducts research and develops comprehensive plans and strategies for short and long-term projects, actions, and activities as assigned. Works in coordination with the Operations section on planning and execution of events. Develops and facilitates methods for automating reports and correspondence. Responsible for coordinating with MCCS Finance and outside venues for quarterly staff section incentive activities. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment. Performs other related duties as assigned. Requirements Conditions of Employment See Duties and Qualifications EVALUATIONS: Qualifications Four years experience that demonstrates broad knowledge of administrative practices and principles. Must have knowledge of Marine Corps and MCCS structure and chain of command. One year experience with a Navy or a Marine Corps Administration office and minimum one year experience in a support role to senior executives is required. Ability to coordinate effectively with all levels of internal management and external agencies. Ability to identify and analyze problems and recommend solutions and alternatives. Must be flexible and able to work in a fast paced, demanding work environment. Must demonstrate excellent communication skills, both written and verbal. Skill to organize and coordinate multiple high visibility projects simultaneously. Must have strong computer skills, to include all Microsoft Office programs.
