Position Overview

Our client is looking for an Executive Assistant who will play a critical role in ensuring the smooth operation and strategic management of the company. Reporting directly to the CEO and supporting the C-suite, the Executive Assistant will be responsible for a wide range of administrative and executive support-related tasks, all of which contribute to the overall efficiency and success of the organization.

Key Responsibilities:


Administrative Support:

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Conduct research and gather data to support executive decision-making.
  • Coordinate and prepare meeting agendas, attend meetings, and take minutes as required.
  • Handle confidential information with utmost discretion and professionalism.

Executive Support:

  • Act as a liaison between the CEO, C-suite, Board of Directors, and other stakeholders, both internal and external.
  • Coordinating and managing special projects as assigned by the CEO and other C-suite executives.
  • Ensure timely and accurate completion of tasks and follow-ups as required by the executive team.
  • Facilitate effective communication within the executive team and other departments.

Operational Efficiency:

  • Implement and maintain efficient administrative systems and procedures to streamline operations.
  • Identify and solve problems that may arise within the administrative functions of the executive office.
  • Support the development and implementation of operational improvements and best practices.
  • Ensure compliance with company policies and procedures.
  • Assist in the onboarding process for new C-suite members and other key personnel.

Qualifications:


Education and Experience:

  • Minimum of 5 years of experience in an executive assistant role or similar capacity.
  • Proven track record of supporting senior executives and managing confidential information.

Skills and Competencies:

  • Exceptional organizational and time-management skills.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • High level of professionalism, integrity, and discretion.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Strong problem-solving and critical-thinking abilities.
  • Ability to work independently and as part of a team.
