Role Overview:
We are seeking a professional and proactive Executive Secretary to support senior leadership with a strong focus on calendar management, scheduling, travel coordination, and administrative efficiency. The ideal candidate will serve as the central point of contact for both internal teams and external stakeholders, ensuring smooth day-to-day operations and executive support. This role requires excellent communication skills, attention to detail, and the ability to manage multiple priorities with professionalism and discretion.
Key Responsibilities
- Manage schedules, appointments, and meetings for leadership and key stakeholders
- Calendar Management.
- Act as the point of contact between internal teams and external clients or partners
- Coordinate travel arrangements (both domestic and International), and accommodations.
- Visa arrangements, Visa Documentation
- Arranging meetings, Conference calls, Events
- Working on expense tool, travel tools etc. Filing expenses and follow-up on reimbursements.
- Guest Handling.
- Event coordination and arrangements.
- Internal and External coordination.
- Strong communication skills (via Phone, email and in-person).
- Experience in using office equipment's.
- Handle correspondence (emails, memos, letters, and reports) professionally and promptly
- Maintain and organize confidential records and files
