Our client a well-known law firm is seeking an Executive Assistant to provide senior-level support to two to three Partners and serve as the primary point of contact for several other Lawyers (Counsels and Associates).
Responsibilities:
Business Development & Client Impact
- Support Partners/Lawyers with client, practice, and business development activities.
- Maintain and update contacts and business activities in CRM systems.
- Schedule client meetings and maintain relationships with clients and their assistants.
- Assist with client entertainment and event management.
- Prepare materials for meetings, pitches, and proposals.
- Conduct research to support business development initiatives.
Administrative Support
- Manage billing and collections, including liaising with billing coordinators and editing pro formas.
- Track and enter time submissions for Partners/Lawyers.
- Proactively manage complex calendars and schedule internal and external meetings.
- Coordinate travel and accommodations based on individual preferences.
- Prepare and submit timely expense reports.
- Handle document production, storage, and confidential information management.
Teaming and Collaboration
- Provide coverage for other assistants as needed.
- Train and support new team members.
- Participate in team meetings, collaborate on projects, and contribute to process improvements.
Requirements:
- Minimum of three years of relevant experience as an executive-level assistant in a law firm, professional services firm, or corporate environment.
- Interest or background in Finance, Technology, Media, or relevant legal experience.
- Strong client service skills and comfort in high-paced settings.
- Proficiency in Microsoft Outlook, Word, PowerPoint, Excel, and CRM systems (e.g., Interaction is a plus).
- Excellent project management, analytical, and writing skills.
- Strong interpersonal skills for effective communication with all levels within the firm and with clients.
- Ability to work on-site four days a week, with one remote day.
- An undergraduate degree or equivalent professional experience is required.
