Position Overview

We are seeking a highly skilled and personable Executive Assistant to provide comprehensive support to our President and Director of Preconstruction. Based at our headquarters in San Francisco, this full-time, in-person role requires an individual who thrives in a dynamic environment and is committed to excellence. The ideal candidate will possess exceptional organizational skills, persuasive communication abilities, and a positive, engaging demeanor.


Key Responsibilities


Executive Support:

  • Manage complex calendars, ensuring efficient scheduling and prioritization of appointments.
  • Coordinate detailed travel arrangements, including itineraries, accommodations, and transportation.
  • Read, prioritize, and, when appropriate, respond to e-mail correspondence on behalf of the Executive.
  • Prepare and edit correspondence, reports, presentations, and other documents, often of a confidential nature.
  • Act as a gatekeeper for executive access while maintaining a professional and approachable demeanor.
  • Help maintain and update CRM.
  • Demonstrate discretion, confidentiality, and executive presence in all interactions.

Communication & Liaison:

  • Serve as the primary point of contact between executives and internal/external stakeholders.
  • Facilitate clear communication across departments to ensure alignment with company goals.
  • Represent the President and Director of Preconstruction in meetings or events as required.
  • Track and maintain client contact lists, assist with outreach, engagement, and relationship management.
  • Assist with candidate communications and support for key hires reporting.

Administrative Management:

  • Oversee expense reporting and budget tracking for executive activities.
  • Maintain organized records and filing systems for easy retrieval of critical information.
  • Plan and execute internal events or meetings, including logistics coordination.

Special Projects:

  • Support executives with research, data analysis, or special initiatives as needed.
  • Assist in preconstruction project coordination by managing timelines or gathering relevant documentation.

Minimum Qualifications

  • Bachelor's degree (4-year degree required).
  • At least 5 years of experience as an Executive Assistant supporting senior leadership.
  • Exceptional written and verbal communication skills with the ability to persuade effectively.
  • Strong organizational skills with attention to detail and the ability to balance multiple priorities.
  • A positive attitude and the ability to foster a welcoming environment.
  • Experience in hospitality or customer-facing industries is highly desirable.
  • Familiarity and /or prior experience with AEC environment is a plus.

Work Environment & Schedule

This role is based at our San Francisco headquarters and requires in-person attendance five days a week to ensure seamless support for our executives.
