Job Summary

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior executives and their teams. This position requires a high degree of professionalism, discretion, and the ability to work in a fast-paced, dynamic environment. The Executive Assistant will manage calendars, coordinate meetings and travel, handle confidential communications, and serve as a critical liaison between executives and internal/external stakeholders. The ideal candidate is resourceful, detail-oriented, and possesses exceptional communication and problem-solving skills.

Key Responsibilities
  • Provide high-level administrative support to executives, ensuring smooth day-to-day operations.
  • Manage and coordinate complex calendars, meetings, appointments, and conference calls.
  • Arrange detailed travel plans, itineraries, and accommodations.
  • Prepare reports, presentations, memos, correspondence, and other documents with accuracy.
  • Greet and assist visitors; screen and direct incoming calls and emails.
  • Support meeting logistics including agendas, minutes, follow-ups, and materials preparation.
  • Maintain records, filing systems, and expense reporting with a high level of accuracy.
  • Ensure confidentiality in handling sensitive information and documents.
  • Anticipate executive needs and proactively manage priorities.
  • Collaborate across departments and maintain positive relationships within a matrixed organization.
  • Serve as a reliable point of contact for internal and external inquiries.
Required Qualifications
  • Minimum of 3 years of experience in an Executive or Administrative Assistant role.
  • High School Diploma or GED required; Bachelor's degree preferred.
  • Proven ability to multi-task and manage competing priorities in a fast-paced environment.
  • Experience with calendar and travel management.
  • Exceptional written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • High degree of professionalism, discretion, and good judgment in confidential situations.
  • Strong proficiency in Microsoft Word, Excel, and PowerPoint, including table creation, mail merges, and formatting.
  • Effective interpersonal skills and excellent telephone etiquette.
  • Knowledge of general office procedures and executive support best practices.
Preferred Qualifications (if any)
  • Prior experience supporting senior leadership or C-suite executives.
  • Exposure to or experience in corporate or matrixed organizational structures.
  • Familiarity with expense management platforms and virtual meeting tools (e.g., Zoom, MS Teams).
Certifications (if any)
  • Optional: List any relevant certifications such as Administrative Professional Certifications (CAP), Microsoft Office Specialist, etc.
