Responsibilities This role is crucial in ensuring the seamless day-to-day operations of our executive office, allowing leadership to focus on strategic initiatives. As an Executive Assistant, you will serve as a key point of contact for internal and external stakeholders, manage complex calendars, and coordinate meetings and events. Your organizational skills and proactive approach will help streamline administrative processes and enhance communication within the team. In addition to traditional administrative functions, you will be expected to handle sensitive information with discretion and contribute to various projects that support our company's objectives. The ideal candidate will possess strong technical acumen in software tools, exceptional communication skills, and a passion for supporting leadership in a rapidly-evolving environment.
  • Calendar & Meeting Management: Handle scheduling, coordinate travel arrangements, and organize appointments, ensuring optimal use of executive time.
  • Communication & Correspondence: Draft emails, manage inbox priorities, and serve as a point of contact for internal teams and external stakeholders.
  • Document & Data Management: Prepare meeting agendas, presentations, and reports; maintain organized digital filing systems.
  • Project Coordination: Assist with project tracking, follow up on action items, and collaborate with cross-functional teams to meet deadlines.
  • Event & Logistics Support: Plan team off-sites, conferences, and other corporate events; manage vendor relationships and budgeting.
  • Confidentiality & Professionalism: Handle sensitive information with discretion, maintaining a high level of trust and integrity.
Requirements
  • Proven experience as an Executive Assistant or in other administrative roles.
  • Excellent organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
  • Strong communication skills, both verbal and written, with an ability to interact professionally with all levels of the organization.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Experience handling confidential information with discretion.
  • Bachelor's degree in Business Administration or a related field preferred.
