Job Description:
The Executive Assistant will play a crucial role in managing the daily operations and priorities of the President & CEO. This individual will handle scheduling, travel coordination, communications, and administrative support while maintaining confidentiality and professionalism. The ideal candidate is highly organized, adaptable, and proactive.
Key Responsibilities:
- Manage an ever-changing executive calendar and schedule meetings across multiple time zones
- Coordinate extensive domestic and international travel arrangements
- Serve as the primary liaison for internal and external communications on behalf of the CEO
- Prepare reports, presentations, and key business documents with a high level of accuracy
- Track and manage action items, ensuring follow-ups are completed in a timely manner
- Provide support for strategic projects and initiatives within the executive office
- Maintain confidentiality while handling sensitive information with discretion
- Process expense reports and oversee administrative documentation
Qualifications:
- 5+ years of administrative experience, with at least 2 years in a senior administrative or executive assistant role
- Proficiency in productivity tools such as Asana (or similar CRM), Microsoft Office Suite, Outlook, Zoom, Google Suite
- Experience using tools such as Box, DocuSign, and Adobe Acrobat
- Ability to adapt quickly to shifting priorities and handle last-minute schedule changes
- Excellent written and verbal communication skills with strong attention to detail
- Bachelor's degree preferred
