Job Title: Executive Assistant to the President & CEO

Job Description:

The Executive Assistant will play a crucial role in managing the daily operations and priorities of the President & CEO. This individual will handle scheduling, travel coordination, communications, and administrative support while maintaining confidentiality and professionalism. The ideal candidate is highly organized, adaptable, and proactive.


Key Responsibilities:

  • Manage an ever-changing executive calendar and schedule meetings across multiple time zones
  • Coordinate extensive domestic and international travel arrangements
  • Serve as the primary liaison for internal and external communications on behalf of the CEO
  • Prepare reports, presentations, and key business documents with a high level of accuracy
  • Track and manage action items, ensuring follow-ups are completed in a timely manner
  • Provide support for strategic projects and initiatives within the executive office
  • Maintain confidentiality while handling sensitive information with discretion
  • Process expense reports and oversee administrative documentation

Qualifications:

  • 5+ years of administrative experience, with at least 2 years in a senior administrative or executive assistant role
  • Proficiency in productivity tools such as Asana (or similar CRM), Microsoft Office Suite, Outlook, Zoom, Google Suite
  • Experience using tools such as Box, DocuSign, and Adobe Acrobat
  • Ability to adapt quickly to shifting priorities and handle last-minute schedule changes
  • Excellent written and verbal communication skills with strong attention to detail
  • Bachelor's degree preferred
