Our client, a prominent real estate investment firm, is seeking a highly organized and proactive Executive Assistant to support the Managing Director. This role is critical in ensuring seamless daily operations by managing email correspondence, handling calls, and maintaining a complex calendar. The ideal candidate is detail-oriented, professional, and capable of prioritizing tasks in a fast-paced, high-stakes environment.
Please note this is an onsite contract role for 3 months in San Francisco, CA. Pay will be $60/hr.
Key Responsibilities:
- Monitor, filter, and respond to emails on behalf of the Managing Director, ensuring important matters receive timely attention.
- Manage and screen incoming calls, redirecting or handling inquiries as needed to optimize the Managing Director's time.
- Schedule and coordinate meetings, calls, and appointments, balancing priorities and minimizing scheduling conflicts.
- Act as a point of contact between internal teams, external partners, and high-profile stakeholders.
- Assist with preparing agendas, materials, and follow-up actions for key meetings.
- Handle sensitive information with the highest level of professionalism and confidentiality.
Qualifications & Skills:
- 5+ years of executive assistant or administrative experience, preferably in real estate, finance, or investment industries.
- Excellent written and verbal communication skills with a polished, professional demeanor.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and scheduling software.
- Ability to anticipate needs, think critically, and proactively resolve issues.
- Strong organizational skills with the ability to prioritize and multitask effectively.
