Position Overview
The Executive Assistant will provide a high level of support for the President, CFO and VP of Sales in various areas related to high-level executive and administrative functions, as well as larger projects and initiatives. This role will work closely with other internal departments and act as a connection point for executive leadership. Ideal candidates will be highly organized and personable, with the ability to take initiative and think independently.
Responsibilities
- Manages complex calendars for President and CFO, coordinating meetings, setting agendas and taking meeting minutes and follow-up actions
- Handles travel arrangements for President and CFO, as well as coordinating travel for other executive team members as needed
- Manages incoming communications, including phone calls and emails, and ensuring timely responses and prioritized follow-up; oversees President's email inbox as priority
- Organizes and coordinates Board Meetings (local and international) or other executive workshops, including scheduling, meeting setup and any other logistics such as travel arrangements and meals; collaborates with global support staff as required
- Supports the VP of Sales with CRM management and reporting, sales team coordination and organization of any group Sales events, such as workshops and tradeshows, in partnership with the Marketing team where applicable
- Assists in the creation of collateral materials for President, CFO and VP of Sales, which may include PowerPoint presentations, memos, reports or other items as needed
- Provides oversite and direction to other administrative support staff as needed, including sales support team
- Handles other administrative functions such as expenses, event planning and other areas as needed
- Supports other duties and projects as assigned
Skills/Experience
- Minimum of 3 years in an Executive Assistant role supporting executive-level staff in a small to mid-size organization
- Experience supporting a Sales team preferred
- Advanced in Microsoft Office Suite, including PowerPoint, Excel, Outlook and Word
- Able to navigate and learn new systems and technology
- Solid communication and interpersonal communication skills, with the ability to communicate at all levels within an organization
- Able to handle confidential information discretely
- Highly organized and detail oriented
- Problem solver and critical thinker with the ability to pivot and navigate change quickly
- Strong time management and prioritization skills
- Able to travel up to 25%
