Biotechnology is hiring a Contract Executive Assistant who has a natural passion for learning, enjoys taking on new tasks and projects, and who excels in an energetic, fast-paced environment. Must possess a high degree of poise, professionalism, and comfort in working with external partners.
This is a 6-month contract covering a leave. Onsite Schedule M-F 9:00am-5:30pm.
Responsibilities
- Manage calendars for various executives and understand the context of the business to effectively plan and prioritize their schedules.
- Book and track complex international, domestic, and multi-city travel arrangements.
- Support lunch meetings, events, and other executive onsite requests.
- Initiate and manage contract requests and purchase order requisitions.
- Organize onsite meetings for remote teams including meeting location, catering, team building events and dinners, and day-of logistical support.
- Escort guests and communicate both in person and via email with external partners.
- Handle confidential information with discretion.
- Keep a pulse on daily agendas and immerse yourself in their priorities.
- Collaborate and partner closely other Executive Assistants regarding company-wide activities, cross-functional meetings, etc.
- Develop an understanding of the team and field requests from all contacts, making a point to be available and approachable.
- Demonstrate composure and flexibility, regardless of competing priorities.
- Find new and efficient ways to create work processes to help maximize your executives' time, including weekly reporting, goal-tracking, and team meetings.
Qualifications
- Bachelor's degree with 10+ years' experience supporting executive level leaders in the Biotechnology or Life Science industry.
- Advanced knowledge of MS Office including Outlook, Word, Excel and PowerPoint, Zoom.
- Demonstrated ability to achieve high-performance goals and meet deadlines while managing changing or competing demands.
- Demonstrates emotional maturity and a track record of developing strong credibility and trust with all levels within the organization.
- Versatility, flexibility, and a willingness to work within constantly changing priorities with passion and enthusiasm.
- Solutions-oriented individual who can detect problems early and actively seeks opportunities and proposes creative and practical solutions.
