Job Summary

The Executive Assistant will provide comprehensive, high-level administrative support to the executive and their team. This position requires a high degree of confidentiality, initiative, and decision-making ability. The successful candidate will manage a variety of tasks, including handling sensitive information, preparing reports, scheduling meetings and travel, organizing correspondence, and liaising with internal and external stakeholders. Flexibility, professionalism, and the ability to thrive in a fast-paced environment are critical.

Key Responsibilities
  • Perform a wide range of administrative tasks with minimal supervision.
  • Provide executive support by preparing reports, handling information requests, and drafting correspondence.
  • Manage calendars, schedule meetings, and coordinate conference calls.
  • Make complex travel arrangements and manage related logistics.
  • Receive and interact professionally with internal staff and external visitors.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Anticipate executive needs and proactively address them.
  • Ensure timely completion of tasks in alignment with departmental goals.
  • Adapt processes and approaches to meet changing priorities and business objectives.
Required Qualifications
  • Minimum of 3 years of experience in an Executive or Administrative Assistant role
  • High school diploma or GED (Bachelor's degree preferred)
  • Strong multitasking skills in a fast-paced environment
  • Excellent calendar management experience
  • Proficiency in Microsoft Word, Excel, and PowerPoint (e.g., table creation, mail merges, formatting)
  • Knowledge of general office procedures including scheduling, filing, and expense management
  • Exceptional interpersonal and communication skills
  • Demonstrated ability to exercise tact and judgment in confidential situations
  • Experience supporting senior-level management
Preferred Qualifications
  1. Bachelor's degree in Business Administration, Communications, or a related field
  2. Experience working in a highly matrixed or corporate environment

Certifications
  • Any applicable certifications if required or preferred, e.g., Certified Administrative Professional (CAP), etc.
