Job Summary The Executive Assistant will provide comprehensive, high-level administrative support to the executive and their team. This position requires a high degree of confidentiality, initiative, and decision-making ability. The successful candidate will manage a variety of tasks, including handling sensitive information, preparing reports, scheduling meetings and travel, organizing correspondence, and liaising with internal and external stakeholders. Flexibility, professionalism, and the ability to thrive in a fast-paced environment are critical.
Key Responsibilities - Perform a wide range of administrative tasks with minimal supervision.
- Provide executive support by preparing reports, handling information requests, and drafting correspondence.
- Manage calendars, schedule meetings, and coordinate conference calls.
- Make complex travel arrangements and manage related logistics.
- Receive and interact professionally with internal staff and external visitors.
- Maintain confidentiality and handle sensitive information with discretion.
- Anticipate executive needs and proactively address them.
- Ensure timely completion of tasks in alignment with departmental goals.
- Adapt processes and approaches to meet changing priorities and business objectives.
Required Qualifications - Minimum of 3 years of experience in an Executive or Administrative Assistant role
- High school diploma or GED (Bachelor's degree preferred)
- Strong multitasking skills in a fast-paced environment
- Excellent calendar management experience
- Proficiency in Microsoft Word, Excel, and PowerPoint (e.g., table creation, mail merges, formatting)
- Knowledge of general office procedures including scheduling, filing, and expense management
- Exceptional interpersonal and communication skills
- Demonstrated ability to exercise tact and judgment in confidential situations
- Experience supporting senior-level management
Preferred Qualifications - Bachelor's degree in Business Administration, Communications, or a related field
- Experience working in a highly matrixed or corporate environment
Certifications - Any applicable certifications if required or preferred, e.g., Certified Administrative Professional (CAP), etc.
