Our Client, Global Investment Bank, is seeking a Executive Assistant in their New York, NY location.


Must be comfortable working fully on-site, 5 days a week


Position Overview:

We are seeking a highly organized and proactive Executive Assistant to support a senior executive and their team. This role requires a polished professional who thrives in a fast-paced, dynamic environment, and can handle a variety of administrative and executive support tasks with discretion, efficiency, and sound judgment.


Key Responsibilities:

  • Provide high-level administrative support to the executive and team, ensuring seamless daily operations.
  • Manage and maintain calendars, schedule meetings, coordinate conference calls, and organize travel arrangements.
  • Prepare and edit correspondence, reports, and presentations using Microsoft Word, Excel, and PowerPoint.
  • Greet and assist visitors, handle incoming calls, and respond to information requests with professionalism and accuracy.
  • Assist with expense reporting, filing, data entry, and other general office duties.
  • Conduct research and compile data for special projects and executive decision-making.
  • Maintain confidentiality and use discretion in handling sensitive information.
  • Proactively anticipate needs and offer thoughtful solutions and support with minimal direction.

Qualifications:

  • Minimum of 3 years of experience in an Executive or Administrative Assistant role.
  • MUST have Financial Services experience
  • High school diploma or GED required; Bachelor's degree preferred.
  • Proven ability to multi-task and prioritize in a fast-paced environment.
  • Strong calendar management and organizational skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with creating tables, mail merges, and formatting.
  • Excellent written and verbal communication skills with professional phone etiquette.
  • Demonstrated ability to work effectively with senior management.
  • Discretion, good judgment, and professionalism in all interactions.
  • Flexible, resourceful, and a team player with a proactive approach to problem-solving.
