Job Description: Executive Assistant for President & CEO

Salary Range: $60,000 - $75,000


The Executive Assistant acts as a liaison between the Executives, President, and Vice Presidents, supporting them in daily office needs and managing general administrative activities. This role includes calendar management, meeting organization, welcoming visitors, answering phone calls, handling messages, and coordinating travel arrangements with professionalism and confidentiality. The Executive Assistant also filters and prioritizes office visits and emails, ensuring the Executive staff operates efficiently.


Requirements:

5 years of executive assistant experience

Advanced degree preferred

Strong time management skills and ability to meet deadlines

Excellent verbal and written communication skills

Exceptional organizational skills, attention to detail, and ability to multitask

Strong problem-solving and decision-making skills with the ability to take initiative

Ability to act as a gatekeeper and escalate relevant information to Executives as needed

Ability to work independently with minimal supervision

Excellent interpersonal skills - a true team player

Ability to handle confidential information with discretion

Proficiency in Microsoft Office Suite and experience with standard office equipment (copiers, business telephone systems, and office machinery)


Duties and Responsibilities:

Manage the CEO's calendar, including scheduling appointments and prioritizing sensitive matters

Research, prepare and take notes for meetings

Coordinate travel arrangements and prepare trip itineraries

Maintain office supplies and order as needed to ensure proper inventory levels

Handle and distribute mail

Maintain organization's contact database

Manage electronic records and emails, organizing both old and new files to maintain a well-structured and accessible digital library.

Draft and organize written communications, including correspondence, memos, and agendas

Use software tools (spreadsheets, presentation software, etc.) to prepare reports and special projects

Organize web conferences and in-person meetings

Plan and set up meetings and events, including arranging catering when needed

Provide administrative support to BTEA member associations

Assist in organizing work for external consultants

Liaise with BTEA committee co-chairs on key initiatives

Develop meeting agendas with Executive staff, Officers, and committee co-chairs to ensure all relevant topics are covered

Assist other staff as needed

Manage communications for the Executive Committee and Board, including monthly meeting announcements
