Position Overview:
We are seeking a highly organized and proactive Executive Assistant to serve as a strategic partner to the CEO. This is more than just an administrative role-it is an opportunity to be at the heart of high-level decision-making and business operations. Key Responsibilities:
- Serve as the primary liaison between the CEO and key internal/external stakeholders.
- Manage complex scheduling, update calendars, and provide comprehensive daily briefings.
- Draft, review, and send professional communications on behalf of the CEO.
- Organize and prepare for high-level meetings, including logistics, agendas, and required materials.
- Attend meetings, take and distribute clear and actionable minutes.
- Coordinate detailed travel arrangements, itineraries, and expenses.
- Screen and prioritize all incoming phone calls, inquiries, and correspondence.
- Manage email communications, including prioritization and responding on behalf of the CEO when necessary.
- Handle confidential and sensitive information with the highest level of discretion.
- Take initiative in overseeing complex administrative tasks, demonstrating independent judgment and efficiency.
- Collaborate with other administrative professionals to ensure smooth studio operations.
- Maintain databases and records with accuracy and organization.
Qualifications & Skills:
- Bachelor's degree in administration, business, or a related field.
- 5+ years of experience as an Executive Assistant supporting a C-suite executive.
- Experience in an architectural, design, or creative firm is a plus.
- Exceptional organizational skills with the ability to multitask and prioritize effectively.
- Strong time management skills with flexibility to adapt to changing priorities.
- Proactive mindset with a problem-solving attitude and keen attention to detail.
- Professional, polished demeanor with strong interpersonal skills.
- Outstanding verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and social media platforms.
