Job Summary:

We are seeking a highly organized and proactive Executive Assistant to support a dynamic physician entrepreneur. This role requires exceptional multitasking abilities, discretion, and professionalism to manage both medical practice and business ventures effectively. The ideal candidate will provide administrative support, coordinate schedules, oversee communications, and ensure seamless operations across multiple responsibilities. This is an NYC-based position. The ability to travel to satellite locations (CA, FL) and conferences is required.


Key Responsibilities:

  • Calendar & Scheduling: Manage and coordinate a complex schedule, including patient scheduling, business meetings, travel arrangements, and personal commitments.
  • Administrative Support: Handle correspondence, emails, phone calls, and document preparation while ensuring timely follow-ups. Coordinate with internal and external departments including clinical, operations, marketing, social and PR.
  • Project Management: Assist in managing business ventures, including research, reporting, and tracking key initiatives.
  • Travel Coordination: Arranges domestic and international travel, accommodation, and itinerary planning
  • Event Planning: Organize business meetings, networking events, and medical conferences.
  • Financial Assistance: Support expense tracking.
  • Liaison & Relationship Management: Communicate with patients, vendors, business partners, and stakeholders on behalf of the doctor.
  • Confidentiality & Discretion: Handle sensitive information with the utmost professionalism and confidentiality.

Qualifications & Skills:

  • Bachelor's degree preferred but not required.
  • 8+ years of experience as an Executive Assistant, preferably supporting a medical professional or entrepreneur. Strong organizational and time-management skills with keen attention to detail.
  • Excellent verbal and written communication skills.
  • Proactive and independent thinker with a honed analytical and problem-solving skill set.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other productivity tools.
  • Ability to work independently, prioritize tasks, and handle multiple responsibilities in a fast-paced environment.
  • Experience in healthcare, business management, or startups is a plus.
  • High level of discretion, integrity, and professionalism.
