Southern Hospitality is a multifaceted business that provides comprehensive food and beverage services across a range of live event and venue environments. While it operates as a functional department within Danny Wimmer Presents (DWP) festivals-serving as the sole provider of food and beverage services at these events-its reach and scope extend far beyond the DWP portfolio. The SoHo business is comprised of three core divisions: exclusive food and beverage operations at DWP festivals, independent festival food and beverage services for third-party events, and the Southern Hospitality Facility Division, which manages long-term concessions contracts with arenas and amphitheaters nationwide. This structure allows SoHo to deliver a consistent, high-quality guest experience while adapting to the unique needs of each client and venue.
The Executive Assistant - SoHo Division will provide high-level administrative and operational support to the leadership of the SoHo team. This role is uniquely cross-functional, acting as the central hub for communication and coordination between the SoHo venue division and the rest of the DWP organization. From managing executive calendars and travel to tracking festival assets and budgets, this is a hands-on role perfect for someone who thrives in the details and knows how to keep things moving behind the scenes.
Primary Responsibilities - Provide executive support including calendar management, scheduling, and administrative organization.
- Coordinate complex travel arrangements for team members across the SoHo and Venue divisions.
- Serve as a key liaison between the SoHo team and other departments at DWP, ensuring consistent communication and operational alignment.
- Assist with the advancement of festivals by coordinating SoHo's logistical needs and tracking progress across departments.
- Design and update venue and F&B maps in collaboration with the festival operations and creative teams.
- Maintain and monitor budget tracking for assets, working closely with finance to ensure cost accuracy and allocation.
- Code RAMP card transactions for SoHo-related purchases, ensuring correct attribution to festivals and departments.
- Support internal financial processes by liaising with the finance team to reconcile SoHo expenses and coding.
- Handle various special projects as assigned by executive leadership, including administrative and operational tasks.
Preferred Qualifications - 3+ years of experience in executive support, project coordination, or event operations.
- Strong organizational and multitasking skills with high attention to detail.
- Prior experience working in live events, festivals, or entertainment production preferred.
- Ability to travel up to 30% of the year
- Ability to work independently and collaboratively in a high-paced, ever-changing environment.
- Familiarity with asset management, budget tracking, and expense reconciliation.
- Proficiency in Microsoft Office, Google Workspace, and ability to learn internal systems quickly.
- Excellent communication and problem-solving skills with a proactive approach.
