Position Summary
L.A.'S award-winning 24th Street Theatre is seeking a detail-oriented, proactive, and highly organized Executive Assistant to provide administrative support to the Executive Director and senior leadership team. This position plays a critical role in ensuring the smooth functioning of the theater's daily operations, supporting strategic initiatives, and facilitating effective communication within the organization. The ideal candidate will be an adaptable, resourceful, and collaborative individual with a passion for the arts, a love for being around children and families, and a commitment to the theater's mission. A sense of humor is highly valued as part of our team dynamic, and Spanish-speaking skills are a plus.
Key Responsibilities
Executive Support: Provide administrative support to the Executive Director, including calendar management, scheduling meetings, preparing meeting agendas, and handling correspondence.
Communication & Correspondence: Serve as a liaison between the Executive Director and various stakeholders, ensuring timely communication and follow-up.
Office Management: Oversee day-to-day office operations.
Event Coordination: Assist in the planning and coordination of board meetings, donor events, community engagement activities, and other theater-related events, ensuring seamless execution and accurate documentation.
Document Preparation & Record Keeping: Draft, proofread, and finalize correspondence, reports, and presentations. Maintain and organize files and records in a confidential and accessible manner.
Meeting Deadlines: Ensure deadlines are met and deliverables are completed while assisting Lead staff on theatre productions, arts education initiatives, and community outreach.
Board & Donor Relations: Support the Executive Director with donor stewardship, including preparing materials for meetings, managing donor lists, and maintaining accurate records in the CRM system.
Financial Administration: Assist in the preparation of invoices, expense reports, and financial documents, and help ensure proper tracking of expenditures.
General Administrative Tasks: Support the broader team with various administrative duties as needed, helping the organization meet its goals and support its mission.
Skills
Strong organizational and multitasking abilities with a keen attention to detail.
Excellent written and verbal communication skills.
Ability to handle sensitive information with discretion and confidentiality.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
Familiarity with CRM systems and financial software is a plus.
Ability to manage time efficiently and prioritize tasks effectively.
A passion for the arts and an understanding of the nonprofit sector.
Spanish-speaking skills are a plus.

Education
Bachelor's degree or equivalent work experience preferred.
Experience
At least 2 years of experience in an administrative support role, preferably in the nonprofit or arts sector.
Previous experience working with executives or senior management is a plus.
Compensation and Benefits
$60,000- $64,000, based on experience
