JOB SUMMARY:
As the Executive Assistant, you will play a pivotal role in ensuring the efficiency and effectiveness of the firm's leadership by providing high-level support to the President. You will act as a key gatekeeper, managing schedules, communications, and operational tasks while maintaining strict confidentiality and discretion. This role requires a highly organized, proactive, and detail-oriented individual who can anticipate the needs of executives, streamline workflows, and serve as a reliable partner in both business and personal matters.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Manage and optimize the executives' calendars by scheduling appointments, resolving conflicts, and prioritizing tasks.
Coordinate with various departments to prevent scheduling conflicts and ensure seamless operations.
Prepare executives for meetings by compiling agendas, background materials, and essential documents.
Serve as the primary gatekeeper, filtering and managing incoming requests through Asana and other communication softwares.
Monitor and manage executives' email correspondence.
Handle and coordinate business related-engagements
Attend key meetings, take notes, and provide follow-ups on action items.
Ensure executives are consistently well-informed and prepared for upcoming commitments.
Assist with both business and personal tasks, including household and travel coordination.
Proactively track and prioritize tasks to guarantee timely execution of key initiatives.
Manage project timelines and anticipate potential conflicts, providing strategic solutions.
Continuously optimize workflows to enhance efficiency and reduce distractions for
executives.
Draft, proofread, and edit correspondence with impeccable accuracy and professionalism.
Serve as a professional representative in all interactions with stakeholders, vendors, and
internal teams.
Maintain clear and effective communication, ensuring responses are timely and aligned with company values.
Coordinate and track strategic initiatives, ensuring deadlines are met and progress is communicated effectively.
Provide oversight on ad-hoc projects, including travel logistics and special assignments.
Utilize company resources efficiently before escalating issues to executives.
Ensure all project tracking platforms remain updated with the latest information.
Oversee quarterly planning for the Administrative Team.
Maintain confidentiality and demonstrate unwavering integrity in handling sensitive information.
Anticipate issues and resolve them proactively, presenting solutions before escalation.
Continuously seek improvements in processes to enhance efficiency and effectiveness.
Be available for on-call support and weekend coverage, as needed.
Be able to perform the above tasks with little to no supervision

PROFESSIONAL AND ACADEMIC REQUIREMENTS
Associates or Bachelor's Degree Preferred
Proven experience as an Executive Assistant or in a high-level administrative role within a fast-paced organization.
Strong organizational, multitasking, and time-management abilities.
Exceptional written and verbal communication skills.
Proficiency in office software, calendar management tools, and project tracking platforms.
Proactive problem-solving mindset with a natural ability to anticipate needs.
High emotional intelligence and professional discretion.

This role will be evaluated based on the following metrics:
- Performance in the following areas: technical skills, communication, customer service, work habits, leadership, and ability to perform all duties of the position.

- Operational Efficiency: Seamless scheduling, communication, and project management with minimal disruptions.
