Position Overview

Ultimate Staffing is seeking a seasoned Executive Assistant on behalf of a well-established organization in Florida. This position supports top-level leadership, including the CEO, and plays a pivotal role in keeping day-to-day operations running seamlessly. The right candidate will bring professionalism, attention to detail, and a proactive mindset to this high-visibility role.


The role is 100% on-site, full-time hours, and looking to hire immediately.



Responsibilities

  • Optimize the productivity of executive leadership by managing calendars, coordinating meetings and travel arrangements, and ensuring timely follow-ups.
  • Oversee time-sensitive priorities with a sense of urgency and sound judgment.
  • Plan and execute internal and external meetings, including logistics, preparation of materials, and agenda coordination.
  • Respond quickly and effectively to requests, including occasional support outside standard business hours.
  • Represent executive leadership in interactions with internal teams, external partners, and board members, fostering positive relationships and clear communication.
  • Prepare accurate reports, maintain confidentiality, and anticipate the evolving needs of the executive office.
  • Serve as a dependable liaison between senior leadership and various departments.
  • Manage expense reporting and support cost-efficiency initiatives.

Qualifications

  • Bachelor's degree required.
  • At least five years of proven experience in an executive support capacity, preferably in a fast-paced environment.
  • Advanced MS Office Suite - Included PowerPoint and Word.
  • Experienced supporting BOD's and taking, editing, publishing meeting minutes.
