Position Summary

The Executive Assistant will provide high-level administrative support to the Managing Director and play a key role in office management and organizational efficiency. This position requires strong clerical, organizational, and communication skills to handle scheduling, document management, office operations, and executive coordination.


The Executive Assistant must be highly detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced environment. They will act as a gatekeeper and facilitator, ensuring smooth day-to-day operations while maintaining confidentiality and professionalism.


Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:


Executive Support and Scheduling:

  • Act as a liaison between the Managing Director and internal teams, external stakeholders, and vendors.
  • Prepare and organize reports, presentations, and executive correspondence.
  • Screen and prioritize emails, calls, and meeting requests.
  • Coordinate and facilitate meetings, including agendas, notes, and follow-ups.

Office Management & Clerical Support:

  • Act as a liaison between the Managing Director and internal teams, external stakeholders, and vendors.
  • Prepare and organize reports, presentations, and executive correspondence.

  • Coordinate and facilitate meetings, including agendas, notes, and follow-ups.

Office Management & Clerical Support:

  • Support company-wide initiatives, special projects, and internal communications.
  • Assist with event planning, board meetings, and team coordination.
  • Draft and review contracts, reports, and other business documents as needed.
  • Ensure compliance with company policies and handle sensitive information with discretion.

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • Experience: Minimum 5 years of experience as an Executive Assistant, Office Manager, or similar administrative role.
  • Education: Bachelor's degree preferred but not required; equivalent experience will be considered.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong calendar and scheduling management skills (e.g., Outlook, Google Calendar).
  • Experience with travel coordination, expense reporting, and document management.

Soft Skills:

  • Excellent organization, multitasking, and time management skills.
  • Strong written and verbal communication abilities.
  • High level of professionalism and discretion with confidential information.
  • Ability to work independently while maintaining strong attention to detail.

Physical Demands and Work Environment

Work is performed in an office environment and requires the ability to operate standard office equipment.


Salary Range

  • The salary range is $80,000-$100,000 per year, including all benefits offered by Pine Creek.
