JOB DESCRIPTION.

The Executive Administrative Assistant to the Chief Executive Officer CEO) and is responsible for performing a wide range of administrative and office support activities for the CEO. This position requires communication and management of interactions at the local, state, and federal level. This position will be responsible for proficiency in multiple areas that includes project management, general administrative tasks, Board support, and supporting the CEO with developing internal and external communication materials. The Executive Administrative Assistant to the CEO handles highly confidential information and must strictly adhere to HIPAA and other confidential guidelines.

The Executive Administrative Assistant to the CEO provides limited coverage in the absence of the Executive Administrative Assistant to the Chief Programs Officer (CPO).

This is a 3 month temp assignment.

JOB COMPLEXITY.
  • Schedule meetings, draft agendas, develop, compile, and distribute presentation materials, and record meeting minutes including action items and timelines
  • Prioritize inquiries and requests for the CEO while troubleshooting conflicts and making recommendations to ensure smooth day-to-day engagements
  • Assist with special projects by designing and producing complex documents, reports, and presentations and prepare correspondences
  • Manage duties assigned with minimal instruction or assistance as new or unusual situations arise
  • Provide operational support (phones, customer service, prepares fiscal checks for mail, deliveries, processes incoming/outgoing mail, etc.)
  • Participate as a member of the RFP grant writing team by providing project management which includes logistical support, ranking, coordination of monitoring, scheduling, finalizing and tracking for the Grant Writing Team
MINIMUM COMPETENCIES.
  • A Bachelor's degree in a related field with Business is preferred.
  • Nonprofit experience is required. A combination of education and experience that demonstrates the ability to perform the duties of the position will be considered.
  • Minimum of 3 years of executive level administrative assistance
  • Ability to complete a high volume of tasks and projects with minimal assistance
  • Proficient in Word, Excel, PowerPoint and Google Apps for Business including Google Workspace, Gmail & Drive
  • Able to type minimum of 55 words per minute with accuracy
  • Ability to travel throughout the county with the flexibility required to meet job duties
  • Valid CA driver's license and access to a reliable vehicle with active insurance
COMPENSATION.
  • Starting Rate: $26.78 per hour (all new hires begin at starting salary regardless of experience)
