Job Title: Executive Administrative Assistant with Sales Experience

Location: Deer Valley, AZ for time being UNTIL admin team relocates down to Chandler, AZ office (potentially end of 2026)

Job Type: Full-Time

Salary Range: $55k -$65K Annually

Work schedule: 9am-5pm Monday-Friday

Travel Requirement:15-25%

Medivant Healthcare is seeking a highly organized and proactive Executive Assistant to support our senior management team. The Executive Assistant will play a key role in ensuring efficient day-to-day operations by managing schedules, communications, and administrative tasks. The ideal candidate should have excellent communication skills, strong attention to detail, and the ability to handle sensitive information with discretion.

Job Summary:

The Executive Administrative Assistant will provide comprehensive administrative support to our executives while leveraging sales experience to enhance operational efficiency and contribute to business development efforts. This role requires a detail-oriented individual with strong communication skills, the ability to manage multiple tasks, and a willingness to travel as needed.

Key Responsibilities:

Administrative Support:
  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize documents, reports, and presentations for meetings.
  • Handle incoming communications, including emails and phone calls, and respond or redirect as necessary.
  • Maintain organized files and records, ensuring confidentiality and easy retrieval of information.
Sales Support:
  • Assist in the preparation of sales proposals, contracts, and presentations.
  • Coordinate and follow up on leads and client communications to support the sales team.
  • Conduct market research and gather data to assist in sales strategy development.
  • Help manage CRM systems and maintain accurate client and prospect information.
Travel Coordination:
  • Plan and coordinate travel itineraries, including flights, accommodations, and transportation for executives.
  • Prepare travel expense reports and ensure compliance with company policies.
Project Management:
  • Assist in the planning and execution of company events, meetings, and conferences.
  • Collaborate with cross-functional teams to support various projects and initiatives.
Relationship Management:
  • Build and maintain positive relationships with clients, vendors, and team members.
  • Act as a liaison between executives and other departments, ensuring effective communication and collaboration.
Qualifications:
  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • 3+ years of experience as an administrative assistant, preferably in a sales environment.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with CRM software.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong verbal and written communication skills, with a professional demeanor.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Willingness to travel 15-25% of the time for business purposes.
