WHAT WE'RE LOOKING FOR

The Executive Administrative Assistant acts as a trusted partner and supports the Company's Executive Leadership Team by performing specialized administrative duties requiring a high degree of accuracy, confidentiality, discretion, and independent judgment. The person in this position must thrive in a fast-paced, dynamic environment. The Executive Administrative Assistant must be proactive and resourceful with excellent communication, problem-solving, and time management skills.

A GLIMPSE INTO YOUR DAY
  • Efficiently manages intricate schedules for their assigned Executive(s), including appointments, meetings, and travel arrangements.
  • Identifies schedule conflicts and proposes solutions to optimize time utilization.
  • Manages incoming email, phone and mail correspondence for the executives, including screening calls, directing them appropriately and escalating urgent matters.
  • Anticipates the needs of the executives for meetings and presentations.
  • Prepares agendas, gathers, and organizes meeting materials, and ensures logistics are arranged.
  • Takes clear and concise notes during meetings and distributes them promptly to attendees.
  • Manages and oversees assigned projects for the C-suite executives, ensuring timely completion and adherence to deadlines.
  • Conducts research and prepares reports on industry trends, competitor analysis, and other relevant topics as needed.
  • Develops and maintains efficient filing and tracking systems for documents and other information.
  • Identifies and proposes efficiencies in existing workflows, and develops streamlined, efficient workflows for new tasks.
  • Research and books travel arrangements for the executives including, but not limited to flights, hotels, and car rentals.
  • Creates detailed itineraries and provides logistical support during travel.
  • Manages expense reports and ensures timely reimbursement.
  • Composes clear, concise, and professional correspondence on behalf of the executives.
  • Maintains strict confidentiality and exercises discretion concerning all sensitive information and business matters, even when working with other executive leaders.
  • Performs other projects, duties, and tasks, as assigned.
WHAT SUCCESS LOOKS LIKE IN THIS ROLE
  • High school diploma or equivalent required.
  • Minimum of 3-5 years' experience as an Executive Assistant or similar role.
  • Must be a current public notary or be willing to meet the necessary requirements to become one, as required by certain Executive Leaders.
  • Strong organizational, time management, and prioritization skills.
  • Excellent communication (written and verbal) and interpersonal skills.
  • Ability to work independently with minimal supervision and exercise sound judgment.
  • Proactive and resourceful with a positive and professional demeanor.
  • Ability to utilize discretion and maintain confidentiality.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with a strong understanding of advanced features.
  • Bachelor's degree or equivalent experience in a relevant field preferred.
  • Previous experience in the financial services or professional services industries is ideal.
  • Ability to quickly learn and adapt to new technology and software programs.

The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. At Relation, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. You may also be eligible to participate in a discretionary annual incentive program, subject to the rules governing the program, whereby an award, if any, depends on various factors, including, without limitation, individual and organizational performance.
