Job Summary:
The Executive Administrative Assistant will be responsible for providing support to all SVPs of the Data Technology leadership team by organizing complex administrative projects, developing presentations, managing calendars, preparing expense reports, booking travel arrangements, handling sensitive information and confidential matters, making executive level business connections, and performing other duties as assigned. This position requires strong communication skills, attention to detail, ability to multi-task in a fast paced environment, organizational skills, knowledge of advanced Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), excellent customer service, discretion, and professionalism. The successful candidate must demonstrate exceptional integrity, honesty, trustworthiness, and judgment. This individual should also have experience working in a financial services industry or related field preferred. This role reports into the VP of Business Management and will work cross-functionally.
Responsibilities:
• Acts as liaison between leaders and employees/customers.
• Coordinates meetings and conference calls; assembles meeting materials and agendas; records minutes and action items.
• Manages calendars; schedules appointments and interviews; arranges meetings and conferences; confirms availability of attendees; coordinates luncheon reservations, catering orders, audio visual equipment set up, etc.
• Maintains files on various projects, correspondence, special assignments, and initiatives.
• Researches and responds to requests for information, follows up on questions regarding specific projects or issues, and communicates directly with internal and external clients.
• Organizes and maintains computer files, databases, and contact lists.
• Develops spreadsheets, graphs, and charts using software packages such as Microsoft Office, Lotus Notes, and others.
• Prepare letters, memos, emails, agendas, forms, and reports as needed.
• Recommends appropriate resources for special projects and assignments.
• Orders office supplies, gifts, and other miscellaneous items.
• Plans events and conferences; assists with coordination and logistics.
Qualifications:
• Bachelor's degree required.
• Three years of relevant work experience required.
• Experience supporting senior executives highly desirable.
• Excellent verbal and written communication skills.
• Strong organizational and time management skills with high attention to detail and accuracy.
• Ability to manage multiple tasks simultaneously and make effective judgments in a fast-paced environment.
• Proficient in MS Office applications including Outlook, Word, Excel, and PowerPoint.
• Able to work independently with little supervision.
• Demonstrated proficiency with desktop computing platforms.new
Pay Range: $25.71-$42.85/hour
Actual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.
