Job Title: Corporate Office Assistant

Location: 155 Seaport Boulevard, Boston, MA 02210

Hours: Full-Time (35 hours/week)

Shift: 9:30 AM - 5:30 PM

Pay Rate: $22.00 per hour

Job Description:

We are seeking a dedicated and detail-oriented Corporate Office Assistant to support daily office operations. This role involves a variety of administrative and clerical tasks, requiring strong organizational skills and the ability to handle multiple tasks simultaneously. The successful candidate will contribute to a well-run office and ensure that all administrative functions are completed efficiently and on time.

Key Responsibilities:

Reception Duties:
  • Greet visitors, answer and direct phone calls, and manage correspondence (emails, letters, packages).
  • Maintain a clean and welcoming reception area.
Administrative Support:
  • Prepare and manage documents, including copying, scanning, and filing.
  • Assist with scheduling meetings, appointments, and conference calls.
  • Maintain office supplies inventory and place orders as needed.
  • Handle incoming and outgoing mail.
Data Entry:
  • Enter, update, and maintain accurate records in databases and systems.
  • Assist in the preparation of reports, presentations, and spreadsheets.
Communication:
  • Coordinate communication between different departments.
  • Respond to internal and external inquiries in a professional manner.
Office Management:
  • Assist with organizing office events, meetings, and workshops.
  • Support the maintenance of office equipment and liaise with vendors for repairs or supplies.
Other Duties:
  • Provide assistance with special projects as needed.
  • Perform additional tasks as assigned by the supervisor.
Qualifications:
  • Education: High school diploma or equivalent required; an associate degree or higher in a related field is a plus.
  • Experience: Prior experience in an administrative or clerical role is preferred.
Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and problem-solving skills.
  • Ability to multitask and prioritize tasks effectively.
Work Environment:
  • This role operates in a professional office environment.
  • The position may require sitting for long periods and occasionally lifting office supplies or equipment.
