Key Responsibilities:
  • Oversee and execute all front office administrative tasks including reception, scanning, CRM updates, mailroom operations, and office supply management.
  • Supervise office services staff including timecard approval, performance management, recruitment, and onboarding.
  • Act as the primary liaison to building management for maintenance, security, and office services coordination.
  • Set priorities and manage workflow to ensure efficiency and service excellence.
  • Coordinate office moves, furniture installations, and workspace configurations.
  • Manage all incoming/outgoing mail and ensure timely distribution.
  • Handle print production and fulfillment requests, including presentation binding.
  • Maintain kitchen and office supply inventory.
  • Ensure company phone lists and directories are current and distributed.
  • Oversee file storage systems both on-site and off-site.
  • Build and maintain relationships with vendors and service providers.
  • Serve as the key contact for office equipment including phones, printers, copiers, and fax machines.
  • Provide backup support for Receptionist and Administrative Assistant as needed.
Qualifications:
  • Education: High School Diploma or equivalent (required)
  • Experience: Minimum of 2 years in office administration or coordination
  • Strong customer service orientation with a positive, team-first attitude
  • Ability to work independently and manage multiple tasks efficiently
  • Excellent attention to detail and organizational skills
  • Strong interpersonal and communication abilities
  • Ability to remain effective in high-pressure or ambiguous situations
