JOB DESCRIPTION SUMMARY The basic function of this position is to provide direct administrative support to the Resource Manage and the Director of Safety and Risk Management as needed. The Administrative Assistant reports to and is directly accountable to the Resource Manager.
REQUIREMENTS Qualifications
- High School Diploma or equivalent (Required)
- Secretarial: 2 years (Preferred)
Experience
General secretarial experience and some general construction industry knowledge
Skills / Knowledge / Abilities
- Position requires advanced skills with Microsoft Excel
- Position requires intermediate computer skills Word and Acrobat
- Position requires excellent organizational skills
- Position requires the working knowledge of general office equipment
- Position requires the ability to communicate with and work with all types of people
- Position requires good telephone etiquette
ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES - Monthly billing of construction projects for company equipment usage
- Adding and transferring equipment using Toolwatch software
- Prepare and maintain company vehicle DMV tag orders
- Preparation of subcontracts, purchase orders and change orders
- Review and approval of subcontractor certificates and insurance
- Prepare outgoing correspondence
- Prepare owner pay applications
- Organize and file all project related paperwork
- Follow-up with subcontractors for non-returned subcontracts, purchase orders, insurance, bonds, etc.
- Upkeep of company vehicle equipment logs
- Upkeep of company equipment files
- Be at work on time
- Back-up for receptionist
- Other miscellaneous duties as needed
WORKING CONDITIONS Work will be in a climate-controlled office. Workdays will be 8 hours per day, 8am to 5pm with a 1-hour lunch break.
Office Location: Midway, just a few minutes outside of Tallahassee
