The Reading League, Inc. (TRL) is a nonprofit organization based in Syracuse, New York, with a mission to advance the awareness, understanding, and use of evidence-aligned reading instruction. TRL focuses on improving literacy outcomes for ALL students. By using the body of knowledge known as the science of reading-which culminates over 60 years of research-we can improve literacy instruction and outcomes. POSITION OVERVIEW REPOSTING OF POSITION
The Administrative Assistant plays a vital role in ensuring the smooth and efficient operation of TRL's office by providing crucial support to key personnel. This includes significant administrative responsibilities directly assisting the Chief Operating Officer(CEO). This position requires an individual capable of managing diverse tasks, maintaining confidentiality, and facilitating communication at all levels.
CEO RELATED RESPONSIBILITIES
- Provide high-level administrative support and assistance to the CEO
- Provide support to the CEO in relation to the Board of Directors, including facilitation of one-on-one meetings, assisting Board President and Executive Committee members, etc
- Prepare agendas, presentations, and meeting materials, and take detailed meeting minutes as requested
- Coordinate executive communications as directed, including making and responding to phone calls and emails, and interfacing with both internal and external stakeholders to ensure crucial matters are addressed, drafting and/or sending as appropriate
- Prepare and edit reports and presentations, both internal and external documents
- Assist with copyediting processes and communicating with authors for The Reading League Journal
- Act as a liaison between the CEO and internal/external stakeholders, ensuring effective communication and follow-ups
- Handle confidential information with the utmost discretion
- Any and all duties and responsibilities that contribute to the efficiency and effectiveness of the CEO
GENERAL RESPONSIBILITIES
- Act as the office receptionist, greeting all visitors and answering all general telephone calls and inquiries, offering support and assistance to visitors and callers
- Ensure the office environment is organized and tidy, including ensuring the kitchen and common areas are maintained appropriately and stocked with necessary supplies
- Perform any and all other assignments and special duties delegated from senior leadership
- Serve as backup for other administrative roles during absences and vacations as needed
QUALIFICATIONS
- Minimum associate's degree in business or related field; bachelor's degree preferred
- Three or more years of administrative experience
- Thorough knowledge of Microsoft Office Suite and Google Suite, with emphasis on Google Drive and its functions
- Knowledge of office systems and procedures
- Excellent organizational and time management skills, with the ability to multitask and manage multiple responsibilities
- Superior written and verbal communication skills (eg, grammar, spelling)
- Knowledge of Zoom, WebEx, and other web-based presentation and collaboration platforms
- Strong project management skills, including attention to detail and problem-solving skills, with a commitment to excellence demonstrated by the delivery of quality and timely outcomes
- Ability to thrive in a fast-paced, growth-focused environment
- Ability to work both independently and as an effective team member
- Ability to envision and convey The Reading League's mission and embrace its values
SALARY AND BENEFITS
- Salary range $50,000 - $60,000

WORKING CONDITIONS
- Ability to lift up to 20 pounds
