As the first point of contact, the Administrative Assistant will represent CityTeam in person, over the phone, and via email. This position handles multiple administrative tasks with accuracy while maintaining the highest level of confidentiality and customer service. Due to the nature of this role, the Administrative Assistant must be able to complete projects and tasks in a timely and accurate manner while tactfully managing constant interruptions. To be successful, the Administrative Assistant must have the technical and soft skills necessary to complete projects, solve problems, answer questions, direct calls, and build positive working relationships. Our ministry is often unpredictable, so we are looking for someone who can pivot quickly and deal with surprises and unexpected twists with grace. Our ideal candidate will be organized and detail-oriented with a strong sense of urgency, have excellent written and verbal communication skills, and the ability to handle conflict in a Christ-like manner.
The Admin Assistant is a full time up to 40 hours, non-exempt position wrapped up in a Christian environment that values Teamwork, Accountability, Humility, Innovation, and Joy.
ESSENTIAL FUNCTIONS - Provide a welcoming and helpful atmosphere to guests, answer questions, provide information, receive packages, and assist as needed in CityTeam's headquarters lobby.
- Answer and route phone calls, handle incoming and outgoing mail and manage emails.
- Manage and maintain the reservation calendar for all conference rooms for staff. Serve as the point of contact for staff regarding conference room scheduling conflicts and last minute changes.
- Collaborate with all cities monthly to update CityTeam's Event Calendar and manage staff meetings and monthly staff devotionals.
- Manage and Administer renewals and special projects as needed.
- Provide administrative assistance to Support Services staff as needed.
- Provide Executive Administrative support to the President
- Manages the President's schedule, makes travel arrangements, and handles correspondence.
- Acts as a point of contact, fields inquires, and manages communications both internally and externally
- Gathers, organizes, and disseminates information to President and other staff.
- Review and prepare expense reports for the President's direct report

Requirements
Required Education and Experience - High school diploma or equivalent
- Some completed college coursework
- 3-years minimum professional administrative experience
- Computer literate and proficient with Microsoft Office Suite and G-Suite
- Outstanding command of the English language, especially writing professional documents and business correspondence
Preferred Education and Experience - Experience in the Customer Service industry
- Familiarity with CityTeam
- Bi-lingual (English/Spanish is a plus, but not required)
Physical Demands - Stand or sit for prolonged amounts of time
- Walk, bend, twist, reach, & kneel
- Talk and hear
- Occasionally lift and move up to 20 pounds
- Finger and hand dexterity to feel, handle, and operate objects, tools or controls, and to reach with hands and arms
- Should be able to type accurately with a minimum 45 wpm
- Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus
Work Conditions - This position works in a professional office environment
- This role routinely uses office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines
- Days and hours of work are Monday-Friday 8am-5:00pm (possible flexibility)
Additional Eligibility Qualifications for CityTeam Ministries - Must have a personal relationship with Jesus Christ
- Must be active in a local Christian body of believers or at least pursuing community with other Christ-followers
- Must have compatible theology on major issues of CityTeam's Statement of Faith
- Must be committed to serving God and the body of Christ
