Job Description

The Grande Dame is now hiring for a Housekeeping Supervisor. Come and join the Hotel in the City of Pittsburgh and her Team. Responsibilities
- Assistant to the General Manager and Hotel Manager / Supports the Executive Operating Committee.
- Extensive administrative duties and responsibilities; communication and distribution of daily/weekly/monthly reports and correspondence to corporate office and ownership, operation procedures, handling confidential material and information, daily distribution of the mail, daily check deposit of accounts receivables.
- Responsible for obtaining signatures of approval for all internal and external routing of check requests, expense reports, personnel information forms (PIF), project expenditure approval forms (PEA), performance evaluations and other confidential correspondence as necessary, and distribute in a timely and efficient manner.
- Manage schedules for Executive Committee and ensures that all directors and managers receive messages and appointments in a timely manner.
- Manage day-to-day guest relations and corporate guest relations, all external guest correspondence and internal communications, including Daily Medallia Reports, ELMER, Synergy input and Reports, and Guest Alerts.
- Maintain guest relations files and ensures that all information is included in file, i.e. guest correspondence, letters, fax, emails, information, guest folios, gift certificates, etc.
- Maintain Gift Certificate Log to include value, purpose, and date issued and date redeemed.
- Coordinate all travel arrangements including reservations, transportation, amenities, and in-house meetings and events for VIP's, corporate and ownership visits.
- Maintain reader files for upcoming meetings, VIP guests, meetings and events, etc.
- Involved in associate events and activities' committees within the hotel.
- Update the hotel's Social Media Calendar in collaboration with the hotel's leadership team and the Area Marketing Manager with consideration of seasonality and a range of topics, following best practices for content by channel.
- Capture authentic, engaging images and reels of the Omni William Penn that comply with brand standards.
- Write or repurpose authentic, engaging content employing keywords and hashtags.
- Post Omni Hotels & Resorts content periodically.
- Post not less than three times weekly using Sprinkler and within budget.
- Schedule boosts in collaboration with Area Marketing Manager
- Post events on Facebook and Instagram.
- Engage in campaigns to grow followers (e.g. Contests et al)
- Work with the team to define and report on KPIs.
- Adapt social media strategies based on emerging trends and feedback.
- Monitor competitor activity and adjust strategies accordingly.
- Share weekly and monthly reports.
- Perform other duties as assigned by management
Qualifications
- Bachelor's degree preferred
- Minimum 2 years administrative assistant experience required.
- Must be extremely proficient in Excel, Word, PowerPoint and Outlook
- Ability to work extended hours when needed
- Ability to work independently with minimal supervision
- Ability to maintain strict confidentiality
- Must be highly organized and have the ability to multi- task and shift priorities as needed
- A high degree of professionalism is required
- Excellent written and verbal communications skills
- Ability to handle multiple priorities
- Flexibility and capability to take on special assignments/projects as directed by supervisor
