Clark Hill PLC is seeking an experienced Administrative Assistant to join our Administrative Resource Team in its Pittsburgh office location. The Administrative Assistant provides (clerical) support to attorneys, paralegals, and secretaries locally and firm wide with document creation, filing, assisting with billing process, travel arrangements, expense reimbursements, and entering attorney time, along with other related tasks as required and/or assigned.
Primary Responsibilities:
- Assist with creating/editing documents, scanning documents, and preparing and maintaining excel spreadsheets.
- Maintain accurate and up to date filing of documentation in electronic and physical files, including ensuring that pleadings indexes and files are timely updated and current.
- Assist with the new business intake process, including entering conflict information into the system for the purpose of running conflict checks and opening new matters.
- Organize document-heavy physical files and assist in creating exhibit and production material binders for litigation matters.
- Assist with arranging travel accommodations, preparing travel itineraries and expense reporting.
- Assist attorneys with monthly billing requirements.
- Provide backup support for attorney time entry as needed.
- Perform other duties or tasks as assigned or requested (as needed) by the Office Manager, attorneys, paralegals, or secretaries.
Experience/Education:
- High school diploma or GED equivalent required.
- At least 2 years office administrative work experience.
- Previous experience working in a law-firm environment, preferred.
Knowledge, Skills, Abilities:
- Proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint and Excel.
- Excellent organizational and prioritization skills, and the ability to manage a diverse workload.
- Excellent communication skills, both verbal and written.
- Excellent attention to detail, and the ability to handle multiple tasks at one time.
- Willingness to learn new skills and responsibilities.
- Law firm experience is a plus
- Team Player orientation.
The salary range at the time of posting is $37,000.00 -$45,000.00 annually, based upon a full-time work schedule. Actual compensation will be influenced by various factors, including but not limited to employee qualifications, relevant experience, skill sets, training, internal equity, and market data. This position is eligible for an annual discretionary bonus.
