Administrative Assistant to join our Corporate Support team. This role supports a wide range of administrative tasks across departments-including accounting, HR, marketing, and office operations-in a fast-paced, mission-driven environment. Ideal candidates are organized, tech-savvy, and passionate about making a difference in Philadelphia.
Key Responsibilities May Include: - General office support: answering phones, greeting visitors, managing mail and deliveries
- Maintaining office supply inventory and vendor coordination
- Scheduling meetings, preparing materials, and assisting with hospitality logistics
- Supporting staff on-boarding, training logistics, and documentation coordination
- Assisting with timesheet entry, invoice tracking, and expense report collection
- Helping draft, format, and proof internal and client-facing documents
- Contributing to marketing and business development activities, including assembling proposals and monitoring opportunity listings
- Providing data entry and administrative assistance for internal systems (e.g., HR, CRM, accounting, and project management software)
- Managing digital files, checklists, calendars, and office logs
- Performing other duties as assigned to ensure smooth operations across departments
Requirements Preferred Qualifications: - Associate's or Bachelor's degree, or equivalent experience in an administrative or office support role
- Strong written and verbal communication skills
- Proficiency with Google Workspace Applications (Docs, Sheets, Gmail, Meet, Drive) or Microsoft Office 365 (Word, Excel, Outlook, Teams, Sharepoint)
- Experience with business software such as Adobe Acrobat, Bluebeam, or similar tools
- Comfortable learning new systems and juggling multiple priorities
- Detail-oriented with a proactive, solutions-focused attitude
