Administrative, Development & Finance Assistant Elluminate has an exciting opportunity for an individual to support the comprehensive administrative, finance and development-related activities of this small organization focused on women's leadership and social change. This is an excellent opportunity for an intelligent, and organized individual with great human relations skills and an interest in women's leadership and Jewish communal organizations.
Under the direction of the CEO, the Administrative Assistant is responsible for:
Administrative Support (25%): - Provide administrative support to Elluminate's CEO including calendaring meetings, Board meetings prep, and other tasks as requested
- Support the Elluminate staff with event and program logistics, tracking office supplies, and coordinating mailings
- Engage with building and IT specialists on office needs, equipment, and technology
- Engage with IT specialists to ensure systems and communication platforms are running smoothly and systems updated
- Provide operational, logistical and administrative support for Elluminate events, meetings and programs
- Special projects as requested.
Development Support (50%): - Provide administrative support to the Chief Development Officer/Director of Development
- Maintain donor database, including creating accounts, inputting donations, pulling reports, and serving as the point person for all questions related to the database
- Prepare member billing statements
- Assist in creating profiles for prospective individual supporters
Financial Support (25%): - Provide administrative support to the Chief Finance and Operations Officer
- Manage accounts receivable, including processing pledges and payments, preparing bank deposits, reconciling bank and investment statements and issuing acknowledgment letters
- Manage accounts payable, including management of vendor files and preparation of grant payments
- Maintain all financial records including pledges, payments, investment information, operating budget, and all related Elluminate files
Competencies and Qualifications: - Strong organizational skills and attention to detail
- Excellent interpersonal, written, and communication skills
- Proficiency in Microsoft Word, Excel, Google Workspace, Outlook, and PowerPoint
- Strong database management skills (proficiency with Excel and QuickBooks needed, knowledge of Little Green Light or Givesmart a plus)
- Ability to work some evenings and occasional weekends
- Relevant work experience - administrative and financial - required
- Bachelor's Degree or equivalent
- Service oriented with ability to work with multiple stakeholders
