ADMINISTRATIVE ASSISTANT

We are excited to invite a proactive and detailed oriented Administrative Assistant to join our Central Office (CO) team. Homes for the Homeless is looking for an Administrative Assistant, whose work will be essential to the smooth and professional operation of our Central Office. Under the supervision of the Central Office Manager, the Administrative Assistant will manage the reception desk and support the day-to-day administrative functions of the Central Office Administration team.

Homes for the Homeless operate shelters for families experiencing homelessness in NYC. Our family residences are more than just a place to sleep. Families can make the most of their stay through accessing an array of onsite programs. Many of these programs are also available to people living in the local community. Our goal is to have a positive impact so families can thrive long after they leave our shelters.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Assist Central Office Manager with the opening and closing of the Central Office as needed.
  • Answering and directing calls accordingly.
  • Checking the main Central Office Voicemail and forward messages to corresponding staff.
  • Greet and assists office visitors.
  • Maintain and distribute the Central Office phone directory.
  • Maintain and distribute Central Office staff daily sign-in sheets.
  • Receiving incoming mail and packages, sorting and distributing to staff or staff mailboxes.
  • Coordinate and schedule vans for Central Office staff site visits, and maintain updated driver contact information.
  • Create and reconcile daily reports of attendance, remote work schedules and others as requested.
  • Assist Office Manager with inventory, ordering and restocking of Central Office supplies as requested.
  • Serve as backup to Central Office Manager on all functions as needed.
  • Supports the Central Office team with administrative duties such as filing, copying, scanning, mailing, sorting and distributing of in-kind donations.
  • Supports Administration and other Central Office Departments on a variety of projects as requested.
QUALIFICATIONS:
  • High School diploma or equivalent.
  • At least 2 years of experience supporting office administrative and/or reception duties.
  • Intermediate skills with Microsoft Office applications, including outlook, excel, and word.
  • Ability to prioritize assignments and handle multiple tasks with strong organization and time management skills.
  • Excellent phone attendant skills.
  • Excellent communication skills.
  • Must be able to lift, up to 20 lbs.

SALARY:

$40,000

9am-5pm, Monday - Friday
