Denstat solutions is a senior consulting and Educational / Training Organization. We provide professional services in the development, validation and implementation of professional standards and quality teaching initiatives. We currently have an opening for an Administrative Assistant.
The ideal Administrative Assistant Candidate must be able to work Monday through Friday from 8 am to 5 pm.
Primary Function
The Administrative Assistant will provide clerical support with minimal supervision as well as support services with regards to the operations of the document control system and document reproduction activities for the assigned engineering team.
Duties & Responsibilities:
Employee may be called upon to perform any or all of the following functions:
Perform Engineering clerical support tasks with minimal supervision
Take personal responsibility for the quality and accuracy of his/her work
Responsible for document control tasks including the transmittal and maintenance of project drawings, reference and vendor documents. Tasks include the management of drawings into electronic and physical files
Perform receptionist duties such as answering the phone, greeting visitors, accepting packages, and sorting the mail
Responsible for monthly departmental credit card reports; distribute to teams, compile and check validity of information submitted, collect backup documents
Coordinate the scheduling and set up of in-house training seminars and meetings, including lunch arrangements for large group
Coordinate new hire set ups by preparing welcome memo, updating organization chart, making sure all supplies including business cards and cell phones have been arranged, and that a credit card, if needed, has been requested.
Be familiar with department processes and procedures to be capable of backing up other engineering department administrative positions when needed.
Make travel arrangements as required
Ability to lift 10 lbs on a regular basis and up to 25 lbs when necessary
Ability to stand for long periods of time

Minimum Qualifications
High school diploma or equivalent is required. Associates or Bachelors degree in Business or equivalent field is preferred.
Two or more years of administrative support experience is required; experience in an engineering firm is preferred.
Possess skills in the following areas
Demonstrated proficiency with Microsoft Office Suite (Outlook, Word, Excel)
Previous experience with Meridian document control software preferred
Demonstrated attention to detail to accurately complete order entries, research for proposals, and complete reports as needed
Ability to define problems, collect data, establish facts an draw valid conclusions
Proven communication skills, both oral and written, to convey thoughts, ideas, and facts to a diverse group of individuals including administrators, engineers, and senior management
Ability to prioritize and work in a fast paced environment to meet all deadlines
Ability to work effectively in a team based environment
Flexibility for occasional overtime
