A healthcare network on Long Island is seeking a versatile and hardworking Administrative Assistant to join one of their growing outpatient recovery clinics in Suffolk County. In this position, the qualified professional will be responsible for playing a key role in ensuring efficient office workflow and a welcoming experience for both clients and staff.
About the Opportunity:- Schedule: Monday to Friday
- Hours: 9am to 5pm or 10am to 6pm
- Setting: Outpatient Recovery Clinic
Responsibilities:- Serve as the first point of contact for visitors and clients; maintain a welcoming and professional front desk environment
- Answer phones, direct calls, take messages, and manage appointment scheduling
- Support intake processing, including documentation collection and client file management
- Maintain accurate records using electronic health record (EHR) systems (training provided)
- Prepare reports, correspondence, and other documentation for internal and external use
- Assist with data entry, billing coordination, and tracking of clinic services
- Manage office supply inventory and coordinate with vendors as needed
- Support program staff with clerical and organizational tasks
- Handle sensitive information with confidentiality and in compliance with HIPAA regulations
- Participate in staff meetings and contribute to clinic operations as needed
Qualifications:- 1+ year of Administrative and/or related experience
- High School Diploma / GED
- Computer savvy
- Microsoft Office proficient
- Exceptional phone etiquette
Desired Skills:- Associate's and/or Bachelor's Degree
- Bilingual (Spanish/English)
- Experience in a Healthcare, Nonprofit, and/or Social Services setting
- Familiarity with EHR systems (DocuMed or similar)
