A non-profit organization seeks a temporary Administrative Assistant to support an executive and team. The ideal candidate will have at least 5 years of experience supporting a team with travel coordination, calendar management, and event planning. This role has the opportunity to convert to a full-time role.


Fully Onsite

Hours: 9am - 6pm

Pay rate: $35-38/hr


Key Responsibilities:

  • Coordinate and execute all on-site events and conferences, coordinate event spaces, catering, create timelines, manage RSVP's, and manage the day of event
  • Efficiently manage and coordinate complex calendars
  • Resolve scheduling conflicts and proactively adjust appointments as needed
  • Organize all aspects of business travel and create detailed itineraries for team members
  • Mange projects and timelines, ensuring follow up as needed
  • Assist with correspondence, presentations and meeting preparation
  • Process invoices and expense reports
  • Assist with onboarding/introductions for new team members and interns
  • Other ad hoc project and event planning as requested

Qualifications:

  • Minimum of 5 + years in a high-level administrative support role
  • Bachelor's degree preferred
  • Experience with project management preferred
  • Exceptional organizational skills with the ability to manage multiple tasks and priorities
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Concur
  • Experience arranging complex travel
  • Strong attention to detail and accuracy
  • Ability to maintain confidentiality and handle sensitive information with discretion
