The Cornell Cooperative Extension Ulster County Administrative Assistant provides administrative support for the Association with primary responsibility for reception. Acts as the first point of contact for visitors & callers and is responsible for providing them with superior customer service. Serves as part of the administrative support team under the supervision of the Office Manager with additional administrative responsibilities related to the Agriculture & Healthy Communities program areas under the general direction of the educators. Work involves a variety of duties including correspondence, statistical summaries and reports, general record keeping such as preparing vouchers, accounts receivable cash receipts log, program registrations, and maintenance of database for the Association and all program areas.

Required Qualifications:
  • High School Diploma or equivalent education.
  • Experience relevant to the role of the position.
  • Database maintenance and coordination experience.
  • Ability to meet travel requirements associated with this position.
  • Ability to work flexible hours which may include evenings and/or weekends, as appropriate.

Responsibilities/Essential Functions:

Administrative Responsibilities:

Coordination/Operation - 95%
  • Provide general administrative support including record keeping, word processing, preparing vouchers, Accounts Receivable cash receipts logs, ordering office and program supplies, filing, copying, scanning, faxing, telephone calls, answering phone, customer service, calendar, travel arrangements, organization of information for meetings, mailings, and mail distribution.
  • Act as primary reception staff person for the Association being first point of contact for visitors & callers and responsible for providing superior customer service.
  • Serve as part of the administrative support team under the supervision of the Office Manager.
  • Responsible for statistical summaries and reports, program registrations, and maintenance of database and mailing lists for the Association and all program areas.
  • Provide administrative support for the Ag & Healthy Communities program under the general direction of the Program Leader and educators, responding to general requests for information about Ag & Healthy Communities programs and activities in the community.
  • Prepare and assemble materials for distribution to clients, volunteers and program participants.
  • Maintain an efficient filing system including correspondence, mailing lists, meeting minutes and program files.
  • Receive and maintain program registrations and prepare accurate financial records for fee programs.
  • Responsible for statistical reporting system. Maintain confidential program participant information in accordance with guidelines. Work with the staff to prepare reports on deadline.
  • Advise program staff on departmental policies, procedures, and guidelines.
  • Requires the use of judgment in analyzing facts and circumstances surrounding work situations, problems, or transactions; and in determining action to be taken within the limits of standard accepted practice.
  • Assign or coordinate tasks and small projects; give guidance to temporary support staff performing similar work.
Professional Improvement - 5%
  • In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes and Association priorities.
  • Collaborate in activities that are in general support of Cornell Cooperative Extension and perform other duties as assigned.

  • Support the Association to maintain a safe working environment.
  • Be familiar with and strive to follow any applicable federal, state, local regulations, Association health and safety policy/procedure/requirement and standard.
  • Act proactively to prevent accidents/injuries and communicate hazards to supervisors when identified.

  • Assist the Cornell Cooperative Extension system in reaching out to various audiences.

This is a full time, 40 hours per week, benefits eligible, non-exempt position. Compensation paid at the rate of $20.00 per hour. Excellent benefits, based on eligibility, including:
